To-do

A personal task list, stages and conversion into a project task

To-do

The module where you keep your own tasks, split them into stages and turn them into project tasks when you need to.

What it does

To-do is a personal task list. On the Kanban board you drag and drop tasks between stages you define yourself. When a user is assigned to a task, the task is shared with that user. The same list appears in the Project app under My Tasks as a private task with a padlock icon; a task can be converted into a project task from the gear menu.

Creating a task quickly

A task is created with the New button or the plus icon; a title, tags, an assignee and formatted content are entered. A new task can also be created from any screen in Odoo by opening the command palette with ctrl+k. That way a note is taken in the middle of work without leaving the flow.

Personal stages

The Kanban board lines tasks up by stage. With the + Personal Stage button you define your own stage names. A task is moved from one stage to another by drag and drop; the stage structure is per user, so everyone sets up their own layout.

Scheduling activities

An activity is attached to the task with the + Schedule an activity button. An activity type, due date, responsible user and summary are entered. Activities are collected in Odoo's activity lists; overdue ones are marked with a red icon and those due that day with a yellow one.

Converting into a project task

Convert to Task is selected from the gear menu. Which project it goes to, the users to be assigned and the tags are set. From that point on the task is tracked in the Project app as a normal project task; it appears on the team board instead of the personal list.

Frequently asked questions

What is the difference between To-do and the Project module?

To-do is personal: stages are per user, and a task is visible to no one except the people assigned to it. Project is team work; shared stages, project-level reporting and time tracking are done there. Because the two share the same data structure, a to-do item can be converted into a project task from the gear menu. Work that starts as a personal note is not rewritten when it turns into team work.

Can we create a task quickly in the middle of work?

Yes. A task is created with the New button or the plus icon; a title, tags, an assignee and formatted content are entered. A new task can also be created from any screen in Odoo by opening the command palette with ctrl+k. That way a note is taken without leaving the flow of work.

Can we define our own stages?

Yes. The Kanban board lines tasks up by stage, and with the + Personal Stage button you define your own stage names. A task is moved from one stage to another by drag and drop. The stage structure is per user, so everyone sets up their own layout and it does not affect anyone else's list.

Can we keep a shared list as a team?

To-do was not designed for that. When you assign a user to a task, the task is shared with that user, but the stage structure is personal and no shared board comes out of it. For a team list the Project module is used; it has shared stages and a team board. During the setup we decide together which work sits in the personal list and which one in a project.

How do we turn a personal task into a project task?

Convert to Task is selected from the gear menu. Which project it goes to, the users to be assigned and the tags are set at that step. From that point on the task is tracked in the Project app as a normal project task and appears on the team board instead of the personal list. The content is not rewritten.

Do we get a warning when a task's due date arrives?

Due dates are tracked by scheduling an activity on the task. An activity type, due date and responsible user are entered. Scheduled activities are collected in Odoo's activity lists; overdue activities are marked with a red icon and those due that day with a yellow one. Whether the notifications arrive by email or inside Odoo depends on the user's notification preference.
