Meetings, attendee availability and calendar sync

Calendar

The module where you plan meetings, see your team's availability and sync with external calendars.

What it does

Calendar holds the meetings linked to Odoo records. You switch between the Day, Week, Month and Year views; when the Attendees box is ticked, the availability of team members appears on the same grid. Recurring events, videocall URLs and external calendar synchronization are supported. You can select your open slots on the calendar and generate a link so the other side picks their own time.

Views and creating an event

The view is picked from the Day, Week, Month and Year drop-down; the arrows move back and forth, and the Today button returns to the current date. Clicking the target date opens a new event box; a title, a start and an end are entered, and All Day can be ticked. The user who opens it comes in as the first attendee.

Attendees and availability

Extra attendees are added to the event, or a contact that is not on file is created from the same screen. When the Attendees box is ticked, the availability of team members appears on the calendar. A conflict is noticed before the invitation goes out.

Recurrence and video calls

Ticking the Recurrent box opens a daily, weekly or monthly frequency; the number of repetitions or the end date and the timezone are set. An existing link is pasted into the Videocall URL field, or a link is generated with the button; if the field is left empty, no link is created.

Appointment link

Available days and hours are selected by dragging on the calendar, and Save & Copy Link generates a shareable link; this shareable booking page belongs to the Appointments app and comes with the paid edition. On the form you define the appointment title, the user involved and, if you want, question fields. If Location is left empty, the appointment opens as an Online Meeting.

We don't just install the module — we fit it to your business

ASON configures the Google or Outlook calendar sync with the Client ID and Client Secret; sets up the videocall URL and the recurrence options, and shows your team how to see attendee availability. The shareable appointment link comes with the Appointments app; if you need it, we set that up with you too.

Frequently asked questions

How is the Google Calendar sync set up?

An application is defined on Google's side and a Client ID and Client Secret are obtained. These two values are entered in Odoo's settings and the connection is authorized per user. Once the connection is made, events move between the integrated services. ASON does the setup, and after the first sync we check both sides together with test events.

Can you connect our Outlook calendar as well?

Yes. Odoo Calendar supports Outlook synchronization too, and the configuration works on the same logic as Google. A Client ID and Client Secret obtained on the Outlook side are entered in the Odoo settings and the connection is made. ASON does the setup, and after the first sync we check the result together with test events.

Can we see the team's availability before a meeting?

Yes. When the Attendees box is ticked on the event screen, the availability of team members appears on the same calendar grid. A conflict is noticed before the invitation goes out. The user who opens the event comes in as the first attendee, and a contact that is not on file can be created from the same screen and added as an attendee.

Can we set up a recurring meeting?

Yes. Ticking the Recurrent box on an event opens a daily, weekly or monthly frequency. The number of repetitions or the end date, and the timezone, are set separately. All Day is ticked for events that run the whole day. The series is followed on the grid by switching between the Day, Week, Month and Year views.

Is a videocall link added to the meeting automatically?

An existing link is pasted into the event's Videocall URL field, or a new link is generated with the button. If the field is left empty, no link is created, so it is not automatic. In appointment sharing, which comes with the Appointments app, leaving the location empty opens the appointment as an Online Meeting and a link is generated.

Can the customer pick their own appointment time?

Yes, and this needs the Appointments app, which comes with the paid edition. Open slots are selected by dragging on the calendar and a link is generated with Save & Copy Link. This link is sent to the customer, and the customer picks one of the open times. Question fields can be added to the appointment form to collect information before the appointment. The resulting appointment lands on your calendar.

Can we track meeting rooms or locations?

The appointment sharing form has a location field and a meeting room can be linked to it; this form comes with the Appointments app. If no location is entered, the appointment opens as an Online Meeting and a videocall link is generated. Room booking, capacity and conflict handling are also within the scope of the Appointments app and need the paid edition; we clarify that need at the start of the project.
