House keys, a car key and a calendar being turned — property, vehicle and due-date tracking

Ason Portfolio

Properties, vehicles, and every date you cannot afford to miss — on one board.

Ason Portfolio was written for organisations and portfolio holders who own more than one property and more than one vehicle. Each asset has its own file; one board gathers all the deadlines — policy expiries, property tax, rent renewals, vehicle tax instalments and inspections, listed together with the days remaining.

A property file, from title deed to tenancy

You record the property with its type (residential, commercial, land), and the fields for block, parcel and title-deed number are built in. Four ledgers open beneath the file: insurance and earthquake cover, property tax, tenant, and the rental contract. All of them are full records — dates, amounts, policy numbers, paid markers. A property's history stays in one place.

A vehicle file, from registration to inspection

Plate, make, model year, notary details, mileage and inspection date. Beneath it: liability and comprehensive policies, motor vehicle tax with instalments, maintenance records and rental periods. The same structure, the same discipline — a vehicle's whole story on one screen.

One list drawn from seven sources

The board reads seven places at once: insurance and earthquake cover expiry, property tax due date, rent end date, liability and comprehensive expiry, vehicle tax instalments, vehicle inspection, and the notes you enter by hand. It sorts by due date and shows the days remaining; overdue items are red, anything inside seven days is amber. You choose thirty, sixty or ninety days. A tax already paid never enters the list — the board shows work still to do.

A rental income tax estimate that states its own limits

The system counts the months a property was rented in the year, applies the residential exemption and runs the progressive schedule to produce an estimate. It does not present this as a claim: the answer itself says the figure is an estimate and not official. You learn where to look while preparing your return; the system does not decide for you.

Is the vehicle actually earning?

The vehicle performance screen gives total maintenance cost, the number of services, cost per kilometre, the last service, estimated rental income and the net result — income minus cost — in one place. Any figure that rests on an estimate is marked as one.

Easy to bring data in, easy to take it out

You load an existing list in bulk with CSV. The whole file is validated first: faulty rows are reported with their line numbers, and if the row limit is exceeded nothing is written at all — a half-finished import cannot happen. Export is available as CSV and PDF.

Right when you open the board, patient when you close it

Ason Portfolio reminds you on the board: open the application and every upcoming and overdue date is in front of you. It does not send email, SMS or phone notifications — which is why the product never says "we will let you know". For someone who makes opening the board a morning habit, one list is enough; for someone waiting to be notified, this version is not the right tool.

One deadline board

Seven sources in one list, sorted by due date with days remaining; paid items do not appear.

A complete asset file

Block, parcel and deed for property; notary and inspection for vehicles; four ledgers each.

No half imports

A CSV file either passes in full or not at all; faulty rows are reported with their line numbers.

Frequently asked questions

Will I get an email when a policy is about to expire?

No. Reminders happen on the in-app board: open it and you see every upcoming and overdue date. This version does not send email, SMS or phone notifications.

Can I upload scans of deeds and policies?

There are no file attachments in this version. Records are field-based — policy number, date, amount — and document scans are not stored.

Does the rental income tax calculation replace an official return?

It does not. The figure is an estimate and the system says so in its own answer. You finalise your return with your accountant.

Can I add my own users?

In this version users and roles are set up by Ason. There is not yet a user management screen inside the tenant.

Can I use only the vehicle module?

Yes. Modules are enabled per tenant, and one that is not enabled appears as locked. Not seeing a module is not merely a hidden screen — the server also refuses access to that data.
