Nested articles, sharing by permission and embedded views

The Enterprise module where you write procedures, templates and internal documents as articles and share them by granting permissions.
What it does
Knowledge keeps written internal information inside Odoo. Articles are nested; a child article inherits the parent article's access rights and property fields. The sidebar is split into four sections: Favorites, Workspace, Shared and Private. A Kanban, Cards, List or Calendar view can be embedded in an article so the data is managed inside the article.
Nested article structure
A child article is created under an article and appears as a tree in the sidebar. The child article inherits the parent article's access rights and property fields. The Index command places the list of child articles in the body of the article.
Access rights
There are three general permission levels: Can Edit, Can Read and Members only. Specific internal users or portal users can be invited to a single article and given separate permission. Visibility in the sidebar is set to Everyone or Members only.
Embedded views and properties
A Kanban, Cards, List and Calendar view can be embedded in an article. Properties are data fields shared from the parent article; they keep the same field set across nested articles and items. Fields can be marked to be displayed in the card view.
Templates and version history
Ready-made article templates are used, or an existing article is turned into a template with Add to Templates. A version history is kept; a previous state can be reviewed in the comparison view and restored.

Frequently asked questions
Can we use Knowledge on the Community edition?
No. Knowledge comes with Enterprise; it is not part of a Community installation. If you want to stay on Community, we will look at another solution for internal documentation. If you are considering a move to Enterprise, bear in mind that Odoo Phone and WhatsApp come with the same subscription. Before you decide, we map out what you need alongside the app list.
Do child articles inherit the parent article's permissions?
Yes. A child article created under an article inherits the parent article's access rights and property fields, and appears as a tree in the sidebar. That is why the permission scheme has to be set up at the parent article level. During the setup we plan together which permission sits in which section.
Can we keep data inside an article?
Yes. A Kanban, Cards, List or Calendar view can be embedded in an article, so the data is managed inside the article. Properties are data fields shared from the parent article; they keep the same field set across nested articles and items. Fields can be marked to be displayed in the card view.
Can we go back to an earlier version of an article?
Yes. A version history is kept for Knowledge articles. A previous state is reviewed in the comparison view and, if you want, restored. A section that was changed or deleted by mistake is recovered this way, so you do not have to keep a separate backup of the current article.
Can we reach the related article while we are on a quotation screen?
Yes. A Knowledge icon appears in the form views of other Odoo apps; an article is searched from there and its content pulled into a message. The answer to a recurring customer question does not have to be looked up in a separate tab. We decide together during the setup which article is useful on which screen.
Can you import our existing procedures and documents?
The import method depends on the format of the source files. Text-heavy documents move into the article editor, and attachments are attached to the article. There is no ready-made tool for bulk document import, so we settle the method at the start of the project by looking at your files. We pilot one section first and move on to the rest once we have seen the result together.
Can someone outside the company see an article?
Yes, in two ways. A portal user can be invited to the article and given permission. Or the Share to web toggle can be switched on so access is provided through a link. With the second method anyone who has the link can see the article, so it matters which content is opened up. During the setup we plan which article sits in which section together with the permission scheme.
