eventEvents
Setting up events, selling tickets and tracking attendees

Brings event registration, ticket sales, automatic communication and door check-in together in one app.
What it does
The event form defines the dates, the display timezone, the venue, the person responsible and the registration limit. The Tickets tab sets up the different ticket types, their prices and their sales dates. The messages on the Communication tab go out by themselves, tied to the registration and the event dates. At the door, an attendee is verified by scanning a code from the Registration Desk screen.
Event form
The name, the date range, the timezone used for display on the website, the communication language, the tags, the organizer and the person responsible are defined. The venue can be pulled from a record in the Contacts app or typed in by hand. Visibility is set to public, via a link, or logged-in users only.
Tickets
Each ticket type is linked to an event registration product. The ticket name, the price, the sales start and end dates and the maximum quantity are entered separately. The number sold appears on the form, so the remaining capacity can be followed. An early-bird and a regular ticket can be defined as separate lines on the same event.
Automatic communication
On the Communication tab you pick the message type, the interval and the trigger. The triggers are: after each registration, before the event starts, after the event started, before the event ends, after the event ended. The status of each line shows as running, sent or scheduled.
Registration desk
The Registration Desk screen works in two ways. When a badge is scanned, the code in the camera image is read and the attendance is recorded; if the code is invalid, an error appears in the top right of the screen. Alternatively the attendee is found in the list and marked as attended. The kanban and list views show the ticket type and the registration status.

Frequently asked questions
Can I sell tickets at different prices?
Yes. Each ticket type is linked to a product record and has its own price. The sales start and end dates and the maximum quantity are set per ticket, so an early-bird and a regular ticket can be defined on the same event. The number sold appears on the form, so you do not have to follow the remaining capacity separately.
Do attendees get automatic emails?
As far as you define them on the Communication tab, yes. On each line you pick the message type, how long after it goes out and which event it is tied to: after each registration, before the event starts, after the event ended and so on. You can define several lines on the same event. The status of each line shows on the form as running, sent or scheduled.
How do I verify an attendee at the door?
From the Registration Desk screen. The code on the attendee's badge is scanned with the device camera; it is read when the code is centered in the image, and the attendance is recorded. If the code is invalid, an error message appears on screen. If no camera is available, the attendee is found in the list and marked as attended by hand. The list and kanban views show the ticket type and the registration status.
Do I have to make the event page public?
No. Visibility is set to one of three options: public, open only to people who have the link, or logged-in users only. For closed events such as a dealer meeting, link access or the login requirement is used. The form also defines the communication language, the tags, the organizer and the person responsible.
Can I cap the number of registrations?
Yes, in two separate places. An upper limit on the total number of registrations is set on the event form. On the Tickets tab a maximum quantity is entered per ticket type as well, so the early-bird capacity stays independent of the regular ticket. The number sold appears on the form, so the remaining capacity does not have to be worked out separately.
Can I ask attendees questions during registration?
Yes. On the Questions tab you define selection questions, free text, name, email, phone and company fields. Whether a question is asked of every attendee or once per order is a separate option, so someone buying several tickets is asked for the company details once. The answers are kept on the attendee record.
Do I have to fill in the form from scratch for every event?
No. The form can be pre-filled from ready-made event templates, so a recurring training or webinar format does not have to be set up again each time. Fields coming from the template are changed per event. The Notes tab also holds the exhibition map, the badge dimensions, the ticket instructions and an internal note.
