Manage recurring sales, invoices and renewals on a single record

Ties term-based services and memberships to a recurring plan and generates the invoices periodically.
What it does
The Subscriptions app manages sales that carry recurring revenue. Each subscription is tied to a recurring plan; the plan sets the billing period, the automatic closing period if payment does not arrive, and the customer's self-service rights. Invoices are generated when the period comes round, and if a payment method is saved, the charge is attempted. Renewal, upselling and closing all run from the same record.
Recurring plans
The plan defines the time between two renewals; weeks, months or years are selected. The days unit cannot be used as a billing period, because it would produce an invoice every day. How many days after a failed payment the subscription closes is also set in the plan.
Automatic invoicing
When the period comes round, the invoice is generated and sent with the email template selected in the plan. The align-to-period-start option fixes invoicing to the first day of the next period. If a payment method is saved, the charge is attempted automatically.
Renewal and upselling
A renewal quotation or an upsell quotation is created from a running subscription; on an upsell the amount is prorated for the remaining period. If self-service is switched on, the customer can add products from the portal, change their plan or close the subscription themselves.
Recurring revenue reports
MRR and ARR, the change in each, the active subscriptions change, margin and prepayment percentage are reported as separate measures. There are four reporting screens: Subscriptions Analysis, Retention Analysis, MRR Breakdown and MRR Analysis.

Frequently asked questions
Is the Subscriptions app available in the Community edition?
No. Subscriptions is Enterprise-only; the subscription screens do not open on a database running Community. If you need recurring invoicing, the edition decision follows from this app. The other five apps in this category — CRM, Sales, Point of Sale, Restaurant and Contacts — are available in the Community edition as well.
Can we stay on Community and still produce recurring invoices?
There are two ways: move to Enterprise, or use a third-party module. Which one fits depends on how many subscriptions you have, what you expect from reporting, and who takes on the maintenance cost. The rest of the sales flow works on Community as it is. ASON goes through which way fits your scope with you before the setup.
Can I define a daily subscription?
The days unit cannot be used as a billing period. Odoo's documentation gives the reason as preventing an invoice from being produced every day. Weeks, months and years can be used. If you have a usage model charged by the day, that is generally a matter for the rental side; setting it up as a subscription makes the number of invoices unmanageable.
Are subscription invoices generated and sent automatically?
When the period comes round, the invoice is generated and sent with the email template selected in the plan. The billing period is set in the plan as weeks, months or years. The align-to-period-start option fixes invoicing to the first day of the next period. Subscriptions sold through eCommerce are tied to the same plans.
What happens to a subscription when a payment cannot be collected?
If a payment method is saved, the charge is attempted automatically when the invoice is generated. If the payment does not go through, the plan sets how many days later the subscription closes, and the closing happens at the end of that period. The period is set separately for each plan, so different services can be given a different tolerance.
Can the customer manage the subscription from the portal?
The self-service rights are set in the plan: closing, adding products, renewing and changing the plan are switched on separately. A customer who is given the right carries out these actions from the portal. Anything left switched off is done by you. On an upsell quotation you create, the amount is prorated for the remaining period.
How do I apply a price increase to existing subscribers?
There are two ways. The first is to update the price in the plan or on the product so that the new price applies at renewal. The second is to create a renewal quotation from the running subscription and have the customer confirm the new amount. The second way leaves the customer's confirmation on the document. Which one fits depends on the price change clause in your contract.
