Run quotations, orders and invoicing in one document flow

Sales

Creates quotations, turns them into sales orders once they are confirmed, and starts the delivery and invoice steps from the same record.

What it does

The Sales app manages the chain of documents from preparing a quotation to taking payment. Quotation templates bring the product lines, the validity period and the terms in ready-made. The customer can sign the quotation online and pay in advance. A confirmed quotation becomes a sales order; the delivery order and, according to the product's invoicing policy, a draft invoice are generated from the order.

Quotation templates

For quotations you send repeatedly, the product lines, the validity period and the terms are tied to a template. When you select the template, the lines come in ready. Optional products are presented in a separate section; the customer can add them from the online quotation screen.

Online confirmation

The quotation is sent to the customer as a link. Depending on the settings, an online signature, an online payment or both can be required before the order is created. When the customer signs, the quotation becomes a sales order and the signature is attached to the document.

PDF quote builder

A cover page, technical sheets and product brochures are added in front of or behind the quotation PDF that Odoo generates. Empty fields on the PDF form are filled in from the quotation screen. Files attached to a product record are added to the document automatically when that product goes on the quotation.

Invoicing policy

Per product you select ordered quantities or delivered quantities; the draft invoice is generated accordingly. A prepayment can be issued as a down payment invoice for a percentage or a fixed amount. For long-running work, milestone or time and materials invoicing is used.

Frequently asked questions

What happens in the background when a quotation is confirmed?

The quotation turns into a sales order. If the Inventory app is installed, a delivery order is created from the order lines and stock is handled according to your reservation setting. Depending on the product's invoicing policy, the invoice is generated as a draft either at the time of the order or after delivery. The order record keeps the quotation, the delivery and the invoice documents linked to each other.

Can we prepare repeat quotations from a template?

Yes. The product lines, the validity period and the terms are tied to a quotation template; when you select the template, the lines come in ready. Optional products are presented in a separate section, and the customer can add them from the online quotation screen. Pricelists, product variants and the price difference per variant are used on the same lines.

Can the customer sign the quotation online?

The quotation is sent to the customer as a link. Depending on the settings, an online signature, an online payment or both can be required before the order is created. When the customer signs, the quotation becomes a sales order and the signature is attached to the document. A pro-forma invoice can be sent from the same screen as well.

Can we add our own cover page and brochures to the quotation PDF?

A cover page, technical sheets and product brochures are added in front of or behind the quotation PDF that Odoo generates. Empty fields on the PDF form are filled in from the quotation screen. Files attached to a product record are added to the document on their own when that product goes on the quotation. That way the technical files go out in the same document as the quotation.

Is the invoice issued at the time of the order or after delivery?

That depends on the product's invoicing policy: with ordered quantities the draft invoice is produced after the order, with delivered quantities after the delivery. If a prepayment is taken, a down payment invoice is issued for a percentage or a fixed amount. For long-running work, milestone or time and materials invoicing is used.

Can I give different prices to different customers?

Yes, that is what pricelists are for. A list is tied to a customer or a currency; inside it, rules are defined by product, product category or quantity threshold. Rules can be limited to a date range, so a promotional price drops away on its own when the period ends. The list selected on the customer record is applied automatically to a new quotation.

How does the partner ledger and the accounting side connect?

The invoice generated from the sales order is posted to the customer's account in the Accounting app. The payment terms and the tax come from the definitions on the customer record. With the Türkiye localization, the invoice is sent from Odoo as an e-Fatura or an e-Arşiv. When the payment is recorded, the invoice is closed and the account balance is updated.
