contactsContacts
One central address book for customer and vendor records

Keeps person and company records in one place; the other apps share the same record.
What it does
Contacts is the app where Odoo's customer and vendor records are kept. A record is created as a person or a company; the employees attached to a company and separate addresses such as invoice and delivery are gathered under the same record. The sales, purchase and accounting defaults are defined on the record and are carried over to new documents automatically. Smart buttons open every record belonging to that contact.
Person and company structure
A record is created as a person or a company. Under a company record, the employees are listed as separate person records. Invoice, delivery and other addresses are kept on the Contacts tab of the same record; which address is used on the quotation and the order is selected there.
Sales and purchase defaults
A salesperson, payment terms, a pricelist and a delivery method are defined on the record. On the purchase side, the default buyer, the payment terms, the supplier currency and how often requests for quotation are grouped are set. These values are carried over to new documents as defaults.
Tax and financial details
The tax ID, the fiscal position and the citizen identification or company ID fields are entered on the record. The fiscal position determines the tax mapping applied to that customer. Bank accounts and default accounting entries are defined on the Accounting tab; the follow-up status is monitored on the same screen.
A combined history
The smart buttons on the record open the opportunities, meetings, sales and purchase orders, POS orders, subscriptions, helpdesk tickets and the partner ledger tied to the contact. Duplicate records can be merged; records that are no longer used are archived and drop out of the active list.

Frequently asked questions
Should a record be created as a person or as a company?
A record is created as a person or a company. Under a company record, the employees are listed as separate person records, so several people at the same company are gathered under one record. Invoice, delivery and other addresses are also kept on the Contacts tab of the same record.
Can we define a salesperson, payment terms and a pricelist per customer?
A salesperson, payment terms, a pricelist and a delivery method are defined on the record; these values are carried over to new quotations and orders as defaults. On the purchase side, the default buyer, the payment terms, the supplier currency and how often requests for quotation are grouped are set on the same record. Customer and vendor records are kept in the same app.
Where are the tax ID and the customer-specific tax mapping defined?
The tax ID, the fiscal position and the citizen identification or company ID fields are entered on the contact record. The fiscal position determines the tax mapping applied to that customer. The industry, website, language and tag fields are kept on the same record. Bank accounts and default accounting entries are defined on the Accounting tab; the follow-up status is monitored on the same screen.
Can I see a customer's whole history on one screen?
The smart buttons on the record open the opportunities, meetings, sales and purchase orders, POS orders, subscriptions, helpdesk tickets and the partner ledger tied to the contact. The records stay in their own apps; the contact record is the entry point to all of them. The barcode field defined for Point of Sale is on the same record.
The same customer has been entered twice; what should I do?
The Contacts app has a merge function. You select the duplicate records and merge them; the linked opportunities, orders and invoices are moved to the record that is kept. Decide which record will be the main one before merging, because the operation cannot be undone. For regular clean-up, it helps to list the duplicates by email address or tax ID first.
Can I delete a contact record?
A contact that has linked records such as invoices or orders cannot be deleted; that would break the accounting trail. Archive it instead. An archived record does not appear in the default lists or in the drop-down fields, but it can be found with a filter and its past documents stay as they are. If it is needed again, it can be taken out of the archive.
What is done when the invoicing address and the delivery address are different?
On the Contacts tab of the company record, separate records of the invoice address and delivery address types are defined. On the quotation and the order these addresses are selected in separate fields; the invoice document is issued to the invoicing address and the shipping document to the delivery address. For customers with more than one branch, several delivery addresses can be defined.
