Repair and parts tracking for products returned by customers

Records which parts of a returned product were replaced, whether it is under warranty, and the repair charge.
What it does
The Repair module opens a repair order for a product returned by the customer. The order can be linked to a return record, so you can see which delivery the product came from. On the Parts tab, the parts added, removed and recycled are written on separate lines. If the warranty box is ticked, the cost of the parts is not charged to the customer; if it is not, a quotation is created from the repair order and invoiced.
Repair order
The customer, the product to be repaired, the quantity, the responsible person and the scheduled date are entered. When the order is confirmed, the required parts are reserved from stock and the demand quantity column appears. The status moves through confirmed, under repair and repaired.
Part moves
There are three line types on the Parts tab: add, remove and recycle. A part of the add type is taken out of stock, a removed part is taken off the product, and a recycled part is recorded to be used again in the warehouse. On each line, the demand and the actual quantity are kept separately.
Warranty and invoicing
If the warranty box is ticked, the parts used are not charged to the customer. If it is out of scope, a quotation is created from the repair order; the quotation comes pre-filled with the parts used and the calculated repair amount. When the quotation is confirmed, it turns into a sales order and an invoice.
Link to the return and tracking
When the repair order is linked to a return record, you can see which delivery the product came back from. If the product is tracked by serial number, how many times the same device came in for repair and which parts were replaced can be traced back.

Frequently asked questions
Can we keep the repair history of boards returned from the field?
Yes, if the product is tracked by serial number. Every repair order is linked to that serial number; how many times the device came in and which parts were replaced stays in the record. You can identify recurring failures from these records. Serial number tracking is enabled per product.
Can we link a repair order to the delivery the product went out with?
Yes. The repair order is linked to a return record, so you can see which delivery the product came back from. The customer, product, quantity and scheduled date are kept on the order. If the product is tracked by serial number, the previous repairs of the same device are visible from the same place.
Can we separate warranty and non-warranty repairs?
Yes. The repair order has a warranty box. If it is ticked, the parts used are not charged to the customer and the product is sent straight back. The box is ticked per order, so warranty and non-warranty repairs on the same product are kept in separate records.
How do we invoice a repair that is out of warranty?
A quotation is created from the repair order; it comes pre-filled with the parts used and the calculated repair amount. Once the customer approves, the quotation turns into a sales order and then into an invoice. The repair record and the invoice stay in the same chain, so you do not calculate the amount separately.
Can we take the removed parts back into stock?
Yes. If you set the line type to recycle on the Parts tab, the part is taken back into the warehouse and becomes available for use again. The remove type is used only for parts that will be taken off and discarded. Which location the recycled parts go into can be set by defining a separate location in the warehouse.
What stages does a repair order go through?
The order moves through the confirmed, under repair and repaired statuses. When it is confirmed, the required parts are reserved from stock. A responsible person and a scheduled date are assigned to the order, and records can be grouped with tags. In a multi-company setup, each company's repair orders are kept separately.
What happens if the quantity of parts used differs from the estimate?
On the part lines, the demand quantity and the actual quantity are kept separately. When the order is confirmed, the demand quantity column appears; the operator writes the actual quantity when the work is done. Add-type lines come out of stock, remove-type lines are taken off the product. The difference between planned and used stays visible in the record.
