Requests for quotation, purchase orders and bill control

Collects vendor quotations, turns them into orders, and checks the incoming bill against the order and the receipt.
What it does
The Purchase module starts with a request for quotation. For the same need you can send alternative requests for quotation to several vendors and compare the prices. When the order is confirmed, the receipt is created automatically. With three-way matching enabled, the order, the receipt and the vendor bill are compared; if the quantity or the price does not match, the bill stays on hold for review.
Request for quotation and comparison
The request for quotation is sent to the vendor by email. Alternative requests are opened for the same need, and unit price, lead time and total appear side by side on the comparison screen. The requests that are not selected are cancelled.
Three-way matching
When bill control is enabled, the purchase order, the received quantity and the vendor bill are compared. On lines that arrived short or changed in price, the bill is not validated automatically. The differing line is listed, and the payment step is not reached until the responsible person decides.
Blanket order
A price and quantity agreement valid for a period is defined with the vendor. Orders are created from the agreement as needs arise, and the remaining quantity is visible on the agreement record. With the call for tender structure, quotations for the same product can also be collected in bulk.
Automated replenishment
When a reordering rule is triggered, a request for quotation is created for the vendor defined on the product. The order date is calculated backwards, taking the vendor lead time and the warehouse preparation time into account. Components missing for a manufacturing order are ordered through the same mechanism.

Frequently asked questions
We buy the same material from several vendors; can we compare them?
Yes. You open one request for quotation and add alternative requests to it; each one goes to a different vendor. On the comparison screen, unit price, total and delivery date are listed side by side per line. The quotation you choose becomes an order, and the others are cancelled.
Can we define vendor price lists?
Yes. Vendor price lists are kept on the product record, and prices are filled in automatically on new requests for quotation. The minimum order quantity is defined in the same place. When you open alternative requests for the same need, those prices carry into the comparison screen. That way it stays on record which vendor gives which price.
What happens if the quantity received does not match the bill?
When bill control is set to received quantities, only the quantity received appears on the bill. If the vendor bills more, the difference is visible on screen and the bill goes for approval. The payment step is not reached until the responsible person decides. Before that decision, the order, the receipt and the bill are compared on the same screen.
What happens to the remaining quantity on a partial delivery?
A backorder stays open for the remaining quantity. As the goods arrive, a separate receipt is created and billed separately. The received and the pending quantity are shown separately on the order. With three-way matching enabled, the bill is not validated for the quantity still pending.
Can purchase requests be created automatically based on the stock level?
Yes. A minimum and a maximum quantity are defined for the product and a vendor is added to the product record. When the on-hand quantity drops below the minimum, Odoo proposes a request for quotation or creates one directly. The vendor lead time is taken into account as well. You can approve the proposals one by one, or remove the approval step.
We have a period price agreement with a vendor; can Odoo hold it?
Yes. A blanket order defines the price and quantity agreed with the vendor for a period. Orders are created from the agreement as needs arise, and the remaining quantity is visible on the agreement record. If you want to collect quotations for the same product in bulk, the call for tender structure is used.
What happens on the warehouse side when a purchase order is confirmed?
When the order is confirmed, the receipt is created automatically; the warehouse team does not have to open a separate record. Purchase and Inventory use the same products, units of measure and locations, so the lines are identical in both modules. The quantity entered at receipt is also the basis for bill control.
