Vendor menus, employee orders and account balances

The module where employees order lunch from contracted vendors, the manager passes the order to the vendor and account balances are tracked.
What it does
The Lunch module brings three jobs into one application. The manager defines vendors, menu products and extras. The employee picks a location and a date, adds a product to the cart, and the amount is deducted from their account. From the Today's Orders screen the manager marks the order as sent to the vendor, sets it to Received on delivery, and notifies the employee through Discuss. Account top-ups are entered manually.
Vendors and menu
The vendor record holds the address, email, phone and the weekdays the vendor accepts orders. You choose whether the order is passed on by phone or by email; if email is chosen, an order cut-off time is entered. Products are defined with a category, vendor, price and image.
Extra options
Three groups of extras are defined on the vendor record. For each group you enter a label, a selection rule (None or More, One or More, Only One) and a list of priced options. The extras you configure appear on every product from that vendor.
Employee ordering
The employee selects a location and date, clicks a product, picks extras, adds a note and puts it in the cart. The price updates as options are selected. When the order is placed the amount is deducted from the balance; a cancelled line is credited back. Past orders stay in the order history.
Manager control
The Today's Orders screen groups orders by vendor. After passing the order to the vendor the manager moves the status to Sent, and to Received once it arrives. An envelope icon notifies the employee. The Control Vendors screen also lists past orders.

Frequently asked questions
Does it connect to meal cards or a payroll system?
No. Odoo's documentation states that the module does not interface with banking or billing systems, and we do not claim that a ready-made connector to a meal card provider exists. The company decides its own method: cash handed over, a payroll deduction, or pre-purchased tickets. We settle which method you will use before installation and name the person responsible for top-ups.
How are employee balances topped up and tracked?
Top-ups are entered manually. On the Cash Moves screen the manager fills in the user, date, amount and description to fund the account. When an order is placed the amount is deducted from the balance, and a cancelled line is credited back. The Control Accounts screen shows the balance per employee and that screen is read-only.
Can an employee with no balance left still order?
That depends on the overdraft limit you set. An overdraft limit (Lunch Overdraft) is defined in the settings and sets how far a balance may go below zero. Accounts that go negative are shown per employee on the Control Accounts screen, and the balance is corrected once a top-up is made. We set the limit together during installation, based on your company policy.
Is the order sent to the vendor automatically?
No, the manager sends it. On the vendor record you choose whether the order is passed on by phone or by email. Once the manager has placed the order with the vendor, the status is moved to Sent on the Today's Orders screen. It is marked Received on delivery and the employees are notified. The system does not place the order with the vendor by itself. Because the send and receive steps are marked by hand, the record reflects the real situation.
Can we define extra options on the menu?
Yes. Three groups of extras are defined on the vendor record; for each group you enter a label, a selection rule (None or More, One or More, Only One) and a list of priced options. The extras you configure appear on every product from that vendor. The price updates as the employee picks options, and they can add a note on the same screen.
Can we work with several offices and vendors?
Yes. Locations are defined under the Configuration menu and the employee picks their own location on the order screen. The vendor record marks which locations that vendor serves; if the field is left blank, every location can order from it. The weekdays on which the vendor accepts orders are set on the same record. In a multi-company installation, products and categories can be limited per company.
Can we send employees an order reminder?
Yes, by defining an alert. An alert is shown in two ways: an in-app box or a chat notification. You select the recipients, the location, the day of the week and the time, so a reminder can appear before the order cut-off time. The delivery notification text is edited in the settings as well, and the message is sent through Discuss.
