Attendances

Check in/check out records, kiosk devices and overtime calculation

Attendances

Records employees' check in and check out times and calculates extra work according to a defined ruleset.

What it does

There are two ways to check in and out: through the database, or from a kiosk device. The kiosk runs on its own web address that requires no login; the employee scans a barcode badge, or picks their name from the list and enters a PIN. Overtime is calculated from the ruleset you define and is either paid or added to the time off balance. In the settings you can turn off back-office check-in and force kiosk use only.

Kiosk mode

A separate web address that requires no login is generated for the kiosk; for security reasons this address can be regenerated. The employee scans a barcode or RFID badge, or picks their name from the list. The list can be filtered by department and a PIN requirement can be switched on separately; reading barcodes does not require the Barcode app to be installed.

Overtime rules

Rulesets work on two logics: quantity-based, meaning the expected daily or weekly hours are exceeded; and timing-based, meaning work outside working hours, on a non-working day, or outside a specific schedule. Tolerance is defined in both directions: minutes not counted, in favour of the company, and minutes added, in favour of the employee.

What extra hours are worth

The action section of a rule has two options. If you switch on paying extra hours, they are paid at the defined rate; if you choose to give them back as time off, the extra hours turn into paid leave. By default the extra hours are written to the attendance record with the Overtime Hours work entry type.

Records and reporting

Every check in and check out is listed as an attendance record and can be corrected. Reports show hours worked and overtime per employee. Displaying extra hours on screen at check-out is switched on in the settings; this applies at the kiosk and when checking out through the database.

We don't just install the module — we fit it to your business

ASON sets up the kiosk screen to work with a barcode or with list selection and a PIN; defines the overtime rules and the two-way tolerance minutes for your working pattern, and sets whether extra hours are paid or added to the time off balance.

Technical scope

The Attendances app comes with the Odoo 19 Community edition
Dependencies: hr, barcodes, base_geolocalize
A separate web address for the kiosk requiring no login; the address can be regenerated
Identification: barcode/RFID, selection from a list, or both together
The PIN requirement is switched on for those who check in by selecting from the list
Hardware: barcode scanner, the device's front or rear camera, an external RFID reader
A computer, tablet or phone can be used as the kiosk
If the "attendance from the back end" setting is turned off, only the kiosk is used
Tolerance: two separate minute values, one in favour of the company and one in favour of the employee
An overtime rule is built either quantity-based or timing-based
Extra hours are either paid at the defined rate or added to the time off balance
Showing extra hours at check-out is switched on in the settings

Frequently asked questions

Will our existing PDKS (time and attendance terminal) or turnstile work with Odoo?

Odoo's kiosk mode runs in a browser and supports barcode, RFID and selection from a list; an external RFID reader can be connected. We do not claim that a ready-made connector exists for turnstiles or third-party PDKS devices; devices of that kind usually need a separate integration to be developed. We can look at your device's brand and its API support and tell you concretely whether it is feasible.

Can employees check in with a fingerprint or face recognition?

Odoo's kiosk mode works with barcode, RFID and selection from a list; we do not claim that a ready-made connector exists for devices running fingerprint or face recognition. If you are going to use such a device, a separate integration has to be developed and we look at the device's API support first. Collecting biometric data is also a legal question; settle the scope with your lawyer.

What device and hardware does the kiosk need?

A computer, tablet or phone can be used as the kiosk, so you do not have to buy a separate device. For identification you use a barcode scanner, the device's front or rear camera, or an external RFID reader. Reading barcodes does not require the Barcode app to be installed. The kiosk runs on its own web address that needs no login, and the address can be regenerated for security reasons.

Can we stop employees checking in from their own screen?

Yes. When you turn off the "attendance from the back end" setting, check in and check out happen only at the kiosk. For those who check in by picking their name from the list you can switch on a PIN requirement and filter the list by department. Records entered can still be corrected from the list, and showing extra hours at check-out is switched on in the settings.

Is location recorded at check in and check out?

The Attendances module technically depends on the base_geolocalize module, so the location infrastructure is there. However, this section of the Odoo 19 documentation does not explain in which cases or in what detail location is recorded. For that reason we do not describe a definite behaviour; during setup we test it in your own database and show you what is recorded. If you plan to collect location data, consult your lawyer on the legal side.

How is overtime carried into payroll?

Extra hours are written to the attendance record as an Overtime Hours entry, and Payroll reads those entries. Switch on the option to pay extra hours in the ruleset and the rate you defined is applied. Payroll and the Türkiye payroll localization are Enterprise-only; the localization is ready, but you need Enterprise to use it.

Does overtime calculation work if we stay on the Community edition?

The overtime calculation works; the pay calculation does not. Attendances comes with the Community edition, so extra hours are calculated from your ruleset and show up per employee in the report. Because Payroll is Enterprise-only, you do the pay calculation outside Odoo. If you prefer, you can add extra hours to the time off balance instead of paying them, and that works on Community as well.
