Vehicle records, driver assignment, services and cost tracking

Keeps company vehicles, their drivers, contracts and service costs in one list.
What it does
Model, licence plate, category and odometer information are kept for each vehicle; the only required field on the form is the model, and selecting a model fills in some of the other fields. Driver and future driver are separate fields, and the handover is applied with a single button. Service and contract costs are linked to the vehicle record. The cost report totals these two items by vehicle, driver and period.
Vehicle record
The record holds the model, licence plate, category and last known odometer reading; the odometer unit is set to kilometres or miles. On the board, vehicles are grouped into four default stages: New Request, To Order, Registered and Downgraded. The Tax Info tab has catalog value, purchase value and residual value fields.
Driver handover
Driver and future driver are separate fields. When you select a future driver, an Apply New Driver button appears on the record and the handover is completed in one step. When an employee leaves, the company vehicle option on the archiving form takes the vehicle back from them and assigns it to the future driver, if one is set.
Service records
On a service record the service type and the vehicle are required; the date, cost, vendor, driver, odometer reading and description are kept as well. Records move through the New, Running, Done and Cancelled states; service types are classified as Contract, Service or both. A record can also be created by linking a vendor bill to a vehicle in Accounting.
Cost analysis
The cost report shows contract and service costs together. The default view is a bar chart by month of the year; you can group by vehicle or by driver, and see the total of the two cost items in a pivot table. In a period comparison, the percentage change is calculated by year, quarter or month.
We don't just install the module — we fit it to your business
ASON migrates the vehicle records from your existing fleet list with licence plate, model, odometer and driver details; defines the service types and the contract and inspection tracking, fills in the tax info fields, and shows your fleet officer the cost report.

Frequently asked questions
Why is the Fleet module in the Human Resources category?
Because a vehicle record is tied to a driver, and the driver to an employee record. Odoo itself places Fleet under Human Resources. In practice the link is useful: when an employee leaves, the company vehicle option on the archiving form takes the vehicle back from them and, if one is set, passes it to the next driver. Grouping costs by driver in the report works thanks to the same relationship.
How do we hand a vehicle over from one employee to another?
Driver and future driver are separate fields on the vehicle record. When you select a future driver, an Apply New Driver button appears and the handover is completed in one step. If the employee is leaving, the company vehicle option on the archiving form takes the vehicle back and assigns it to the future driver, if one is set. Who holds the vehicle is followed from the record.
Can we follow the vehicle request and purchase process on the board?
Yes. On the board vehicles are grouped into four default stages: New Request, To Order, Registered and Downgraded. You open the request in New Request and move the vehicle to Registered once it is delivered. The model is the only required field on the record; selecting a model fills in some of the other fields, and you complete the plate and odometer later.
Can we keep service and maintenance records per vehicle?
Yes. On a service record the service type and the vehicle are required; the date, cost, vendor, driver, odometer reading and description are kept on the same record. Records move through the New, Running, Done and Cancelled states. Service types are classified as Contract, Service or both, so you separate contract costs from one-off service costs.
Can a service record be created from a vendor bill?
Yes. In the Accounting module you link the vendor bill to the relevant vehicle before confirming it; the record lands in the service list in the Fleet module and you update the service type there. The cost then appears both in accounting and in the vehicle's history, so you do not have to enter it in two places. Alternatively you can open the service record directly in the Fleet module and enter the cost by hand.
How do we report vehicle costs?
The cost report shows contract and service costs together. The default view is a bar chart by month of the year; you can group by vehicle or by driver and take the total of the two cost items in a pivot table. In a period comparison the percentage change is calculated by year, quarter or month. Grouping by driver works thanks to the vehicle-employee link.
Can the Tax Info tab be used for MTV (Türkiye's motor vehicle tax)?
The horsepower taxation and deductibility rate fields on this tab are general-purpose fields; the amount is not calculated, it is entered by hand. There is no motor vehicle tax calculation specific to Türkiye in Odoo, so we promise nothing of the kind. You can enter the MTV amount in these fields for information. If you need an automatic MTV calculation, we treat that as a separate development item.
