Sign

Gets contracts and forms signed online and keeps the signed copy

Sign

You place signature fields on the document, it is sent to the parties, and the signed version is kept in a traceable form.

What it does

The Sign app removes the print, sign and scan loop. You drag signature, initials, text and date fields onto a PDF and attach each field to a role. The document goes to the parties in the signing order, and signers are sent notifications and reminders. For each signature a hash specific to that operation is generated, and this is how it is traced that the document has not been altered afterwards.

Placing fields

Signature, Initials, Text, Multiline Text, Checkbox and Selection fields are placed on the document. A signature is entered by drawing it, by generating it automatically from the name, or by uploading a file. Fields can be filled automatically from information in the database, so the signer does not type the same information again.

Roles and signing order

Every field is attached to a role; the role stands for the person who will sign the document. Roles are defined from the configuration menu. The signing order is set, and the parties are notified in that order. You can add an extra authentication step for a role, or allow the document to be delegated to someone else.

Templates

Documents you send for signature often are kept as templates. On a template you define tags, the folder the signed document will be saved to, the redirect link after signing, and the users who may use the template. Several documents can be combined into a single signature request; a validity date and automatic email reminders are set up.

Authentication

You can require extra authentication from the signer. Sending a one-time code by SMS requires buying credits. itsme® verification is available in the EU, the UK, Norway and Iceland. You decide per role which documents need extra authentication.

We don't just install the module — we fit it to your business

ASON turns the contracts and forms you send for signature often into templates; attaches signature, initials and date fields to roles, sets the signing order, validity date and reminders, defines the folder the signed document lands in, and tests the flow with your staff.

Frequently asked questions

Is the signature Odoo collects legally valid?

Odoo states that its signatures count as valid electronic signatures in the European Union and the United States of America and that they meet the requirements of most countries. Odoo is equally clear that this carries no legal weight and that a local lawyer should be consulted on electronic signature compliance.

Does it stand in place of a qualified electronic signature under Law No. 5070 in Türkiye?

Odoo's documentation uses its validity statement only for the European Union and the United States of America; there is no statement for Türkiye. Whether it stands in place of a qualified electronic signature under Law No. 5070 on Electronic Signature is a question to put to your lawyer; we do not give an opinion on this.

Does the Sign app require an Enterprise subscription?

Sign is one of Odoo's Enterprise apps, together with Documents and Spreadsheet; you cannot use this app with the free Community edition. Before the setup we draw up your list of requirements and give you in writing which item is covered by which edition, based on Odoo's own edition comparison.

Does the other party have to be an Odoo user?

No. The signature request is sent to the people you specify, and the signer opens the document in their own browser and signs it; they do not need a user account in your database. If you want extra security, you can ask the signer to enter a one-time code sent by SMS; this feature requires buying credits. When the signing is complete, the document is saved to the folder you defined.

Can we require extra authentication from the signer?

You can, and you set it per role. Sending a one-time code by SMS requires buying credits. itsme® verification is available in the European Union, the United Kingdom, Norway and Iceland; Türkiye is not on that list. During the setup we define together which documents need extra authentication.

How do we know a signed document has not been altered afterwards?

For each signature operation a hash specific to that operation is generated. If the document is altered afterwards, that value no longer matches; this is how the tracing works. The signed version is saved to the folder you define on the template and is kept there.

Can we migrate our existing contract templates?

Yes. We upload the contract you have as a PDF, place the signature, initials, text and checkbox fields on it, and then save it as a template. On every later send you do not place the fields again. We also set up the mapping during the installation so that fields such as the customer name and tax number are filled automatically from the database.
