Project

Track tasks, stages and project profitability on one board

Project

Runs projects through Kanban stages, assigns tasks to people, and shows the time spent and the project profitability in the same place.

What it does

Each project opens as a Kanban board with its own stages. A task is held with priority, tags, customer, deadline and allocated time fields. Visibility is set to private, all internal users or public; a portal user only reaches the tasks they follow. The Reporting section in the project card's menu holds the progress and profitability analyses. Project comes with the Odoo 19 Community edition under the LGPL-3 licence.

Ways to create a task

A task is created manually, from a message sent to the email alias defined on the project, or from a website form. In an email the sender becomes the customer, the subject the task title and the body the description. If there is an Odoo user among the recipients, they are added to the task as a follower.

Recurring tasks

Recurring Tasks is enabled in the project settings and the interval is set with the recurrence button next to the deadline. A new task is created once the previous one is set to Done or Cancelled. Name, description, project, assignees, customer and tags are copied; milestones, timesheets, chatter and sub-tasks are not.

Access and external collaborators

Visibility is set at three levels: private (followers and administrators), all internal users, and public (internal users and invited portal users). An external collaborator is given read, edit with limited access, or full edit rights.

Top bar shortcuts

The project card's drop-down menu leads to tasks, milestones, project updates and documents. The top bar buttons can be customized to reach timesheets, sales orders, invoices and dashboards without leaving the Project app.

Frequently asked questions

Can the customer see the project?

Visibility is set at three levels: private, all internal users, and public. When "Public" is selected, internal users and invited portal users can access the project. If a portal user follows the project, they only see the tasks they follow, not the whole project.

What rights can we give an external collaborator?

An external collaborator is given read, edit with limited access, or full edit rights. Rights are set per project. When visibility is left private, only followers and administrators reach the project. An invited portal user only reaches the tasks they follow.

How do we see project profitability?

The Reporting section in the project card's drop-down menu holds the progress and profitability analyses. The module relies on the analytic accounting layer; cost and revenue are collected through those accounts. So the timesheet and sales order links have to be set up correctly. We define the analytic structure together with you during the setup.

Does the Project module require an Enterprise subscription?

No. Project comes with the Odoo 19 Community edition under the LGPL-3 licence. The Enterprise requirement appears in the apps often used alongside it, such as Planning, Field Service and Helpdesk. We list which function belongs to which edition in the scope document, so you make the subscription decision before the setup.

How are tasks created — can a task be opened by email?

A task is created manually, and also from a message sent to the email alias defined on the project or from a website form. In an email the sender becomes the customer, the subject the task title and the body the description. If there is an Odoo user among the recipients, they are added to the task as a follower. A sales order is a task source as well.

Do we have to recreate the task for work that repeats every month?

No.

Can we reach timesheets and sales orders from the project screen?

Yes. The project card's drop-down menu leads to tasks, milestones, project updates and documents. The top bar buttons can be customized to reach timesheets, sales orders, invoices and dashboards without leaving the Project app.
